What does this policy cover?

The accuracy of your information is important to us.  This policy:

  • sets out the types of personal data that we collect about you

  • explains how and why we collect and use your personal data

What personal data do we collect?

We only collect personal information in order to provide our talent and coaching services.  This information normally includes CVs, identification documents, educational records, work history, employment and references, and may also include assessment reports, employer appraisals and psychometric test results.

We may also collect sensitive personal data about you, such as information about your personal circumstances, your family situation, and your health, and we only further process this data where you have given your explicit consent.

How do we collect personal data about you?

The following are the different ways we collect data about you: 

  • directly from you.  This is information you provide in connection with an executive search or talent advisory service for a client, or to help us coach you.

  • through publicly available sources.  This includes LinkedIn, and other social media platforms.

  • by reference or word of mouth.  For example, you may be recommended to us by, or we may receive information about you from:  a friend, a past or present employer, or a past or present colleague.

How and why we use your personal data

For our talent services, we use your personal data to enable us to develop an understanding of your skills, experience and education, and consider whether you are a suitable candidate for a role, and to enable a client to consider you as a potential employee.  We will initially collect basic information on you such as contact details, job role and experience, usually from publicly available sources.  Where a client wishes to consider you in more depth, we may collect additional information directly from you and from other sources.

For our coaching services, we use your personal data to support you in our role as coach.  Usually this is information you provide, or your employer provides.

How long do we keep your personal data for?

We keep your information for up to 6 years.

Who do we share your personal data with?

For our talent services, we may share your personal data with clients interested in your skills and experience with a view to considering you for a role.  We may also share your personal data in order to verify or validate the information about you that we have gathered.  Personal data that we obtain during a coaching assignment is not shared.  Sensitive personal data that you have given us is not shared without your explicit consent.

What legal basis do we have for using your data?

Our processing of personal data is necessary for our legitimate interests, in that we need to gather information for these purposes:

  • talent services:  to introduce you to a client, to contact you in order to share information about a role that might interest you, to help a client assess your suitability for a role, and to check references.

  • coaching services:  to gather information about you to help us support your personal development and effectiveness.

What happens if you do not provide us with the information we request or ask that we stop processing your information?

If you do not provide the personal data we request, or if you withdraw your consent for the processing of your personal data, we may not be able to consider you as a potential candidate for a role, or to perform our role as coach.

Do we make automated decisions concerning you?

No.  We do not carry out automated profiling.

Do we use cookies to collect personal data on you?

Like many other websites, the Tregear Consultancy website uses cookies. ‘Cookies’ are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. They collect statistical data about your browsing actions and patterns and do not identify you as an individual. This information helps us to improve our website.

To support your interest in a role with a new employer or our role as your coach, we may transfer your personal data to clients in countries outside the EEA.  These countries’ privacy laws may be different from those in your home country. Where we transfer data to a country which has not been deemed to provide adequate data protection standards we will have security measures in place to protect your personal data. What rights do you have in relation to the data we hold on you?

You have a number of rights in relation to your personal data: 

  • to be provided with clear, transparent and easily understandable information about how we use your information and your rights.

  • to obtain access to your information, as well as a description of the type of information that we are processing, the uses that are being made of the information, details of anyone to whom your personal data has been disclosed, and how long the data will be stored.

  • to have your information corrected if it’s inaccurate or incomplete.

  • to request the deletion or removal of your information where there’s no compelling reason for us to keep using it, except where we are entitled to retain it.

  • to object to us using your data in certain ways, for example if you no longer want us to contact you with potential employment opportunities that may interest you.

  • to lodge a complaint about the way we handle or process your personal data with your national data protection regulator.

We normally respond to information requests free of charge, but may charge a reasonable fee to cover our administrative costs of providing the information for baseless, excessive, or repeated requests, or for further copies of the same information.
